Họ tạo template đẹp, copy 50 dashboard từ YouTube, setup 30 database — rồi 3 tháng sau bỏ luôn vì quá phức tạp, không sync với workflow thật.

Vấn đề không phải Notion. Vấn đề là không có triết lý hệ thống — chỉ copy template không hiểu lý do.

Bài này là workflow thật mình dùng để run tientuai.com + @tien.tu.ai + freelance work — Notion làm “second brain”, ChatGPT làm “AI co-pilot”. Đơn giản, sustainable, và scale được.

Tóm tắt 30 giây

Triết lý: Notion = nơi LƯU TRỮ. ChatGPT = nơi SUY NGHĨ. Không trộn lẫn 2 vai trò.

Stack: Notion Free + ChatGPT Free hoặc Claude Free = $0/tháng. Đủ cho 95% người Việt.

Setup time: 4 tuần (mỗi tuần 1 system). Không build hết trong 1 ngày — sẽ overwhelm.

Output: 30% thời gian tiết kiệm, 50% mental load giảm, scale được khi business grow.

Vấn đề: Tại sao 90% setup Notion fail?

Trước khi vào solution, hiểu lý do failure:

Sai lầm 1: Quá nhiều database

YouTube creators show “30 database trong 1 dashboard”. Người mới copy → quá phức tạp → 1 tuần dùng → bỏ.

Quy tắc thật: start với 3-5 database. Add thêm chỉ khi có pain point cụ thể.

Sai lầm 2: Không có triết lý input/output

Mỗi note nên trả lời: “Note này input vào đâu? Output ra cái gì?”

Note không có flow → trở thành “data graveyard” — lưu nhưng không bao giờ dùng lại.

Sai lầm 3: Trộn Notion + AI sai cách

Người ta dùng Notion AI để brainstorm idea, viết blog, research deep — sai use case.

Notion AI mạnh: organize, summarize, extract structured data từ note có sẵn.

ChatGPT/Claude mạnh: brainstorm, deep thinking, content generation.

Dùng đúng tool cho đúng việc → output cao gấp 5x.

Sai lầm 4: Không update hằng ngày

System chỉ work nếu bạn đến với nó hằng ngày. Mỗi tuần update 1 lần = system die.

Lộ trình 4 tuần build hệ thống Notion

Đừng setup hết trong 1 ngày. Build từng tuần, test 7 ngày trước khi add thêm.

Tuần 1: Foundation — Workspace structure

Mục tiêu: Có workspace clean, 3 database core.

Tuần 2: Integration — Connect Notion với ChatGPT/Claude workflow

Mục tiêu: Smooth flow Notion ↔ AI.

Workflow 1: Capture idea → Notion

Trong ngày bạn gặp idea (đọc bài, gặp người, brainstorm):

  1. Open Notion mobile app
  2. Page Inbox → Quick add row trong Notes DB
  3. Title + 1-2 câu mô tả
  4. Tags = “Idea”
  5. Status = “Inbox”

⚠️ Đừng process ngay. Just capture.

Workflow 2: Process inbox với ChatGPT (mỗi tối 15 phút)

Cuối ngày, open Inbox:

  1. Pick 1 idea từ Inbox
  2. Switch sang ChatGPT/Claude
  3. Prompt: “Tôi có idea sau: [paste]. Help me think through: 1/ Có đáng pursue? 2/ Next 3 actions? 3/ Có related project nào trong workspace của tôi không?”
  4. Take output → quay lại Notion → tạo Project hoặc Task tương ứng
  5. Set Status = “Processed”

Workflow 3: Weekly review với AI summary

Cuối tuần:

  1. Export 7 ngày notes (copy text từ Notion)
  2. Paste vào Claude/ChatGPT
  3. Prompt: “Đây là notes 7 ngày qua. Tóm tắt: 1/ Themes lớn, 2/ Decisions đã làm, 3/ Open questions còn lại, 4/ 3 priority cho tuần tới”
  4. Paste output vào page Weekly Review trong Notion

→ Hệ thống “tự learn” theo thời gian.

Tuần 3: Templates — Tăng tốc workflow

Trong Notes DB, add property “AI Category” (Select). Setup Notion AI Autofill: scan title + content → auto-tag (Idea / Reference / Person / Article).

Ngày cuối tuần, filter view “Status = Inbox” → bulk auto-tag.

Automation 2: Daily AI summary với ChatGPT

Cuối ngày, copy paste daily Notes vào ChatGPT:

5 sai lầm phổ biến của user Việt

Sai lầm 1: Copy 30 template không hiểu

YouTube guru show “Mega Productivity Dashboard” với 50 widget. Người mới copy → choke.

Sai lầm 2: Notion thay thế suy nghĩ
